Callback-Proof Flooring Installs: Top 10 Mistakes GTA Contractors Avoid | Top Floorings Depot Toronto

Most flooring callbacks in GTA homes trace back to 10 preventable mistakes — from moisture testing on concrete slabs to expansion gaps and material inspection.

In this article

A callback is more than an inconvenience — it costs you time, money, and your reputation with a client you'll likely see again in the same neighbourhood. In the GTA's competitive renovation market, a single botched install can undo months of word-of-mouth referrals. Most flooring callbacks in Toronto, Scarborough, North York, and across the GTA trace back to the same handful of preventable mistakes. Here is what the best contractors avoid, and how you can protect your work before the client ever moves furniture back in.

1. Skipping the Moisture Test on Concrete Subfloors

This is the number-one cause of flooring failures in GTA condos and basement renovations. Whether you are installing SPC vinyl plank over a poured concrete slab in a Markham condo or engineered hardwood in a Richmond Hill home, you must test for moisture before any flooring touches the slab. In Ontario, the two accepted methods are the ASTM F2170 relative humidity probe test (RH above 75%RH means wait) and the ASTM F1869 calcium chloride test (maximum 3 lbs/1000 sqft/24hrs). If the readings are out of spec, the floor will fail — usually within months, and always with a client on the phone asking why their floor is cupping or delaminating.

2. Forgetting to Acclimate Engineered and Solid Hardwood

Toronto's humidity swings between a dry -25°C January and a muggy July afternoon are among the most extreme in Canada. Flooring that goes from a heated warehouse straight into a Scarborough home in February will expand significantly once it equilibrates to interior conditions. The rule for engineered hardwood at Top Floorings Depot: lay the boxes flat in the room for a minimum of 48 hours before installing, with the boxes opened and stacked so air circulates. Solid hardwood may need 72 hours or more. Skipping this step is the second-most-cited cause of callback claims in the GTA — gapping, cupping, and telegraphing seams are all symptoms of a floor that was not given time to find its equilibrium.

3. Failing to Match the Underlayment or Pad to the Product

Not all underlayment is interchangeable, and not all SPC vinyl needs additional padding. If you are installing 6mm Riche SPC vinyl that already has an attached IXPE pad, adding a second foam underlayment can actually compromise the locking system by allowing the planks to float too freely. Conversely, 10mm Riche SPC vinyl with a 2mm EVA pad performs best without an additional layer. For laminate flooring over concrete, a 6-mil polyethylene vapour barrier is the minimum requirement — not just a felt or foam pad. Know the product, read the manufacturer instructions, and do not assume last job's underlayment will work for this one.

4. Not Checking Subfloor Flatness Before You Start

Most flooring manufacturers specify subfloor flatness tolerances measured as an SR (Surface Regularity) number. The standard for SPC vinyl and laminate is no more than 3/16" over a 10-foot radius. For nail-down hardwood, the tolerance is tighter. Running a straightedge or laser level across the subfloor before you start takes two minutes and can save a full day of remediation work mid-job. If you find a dip under a closet or behind an appliance that you did not account for, tell the client now — not after the floor is in and the door no longer clears.

5. Undercutting Door Jambs and Casings Incorrectly

This is a pet peeve that every homeowner notices and most contractors learn the hard way. When you install a floating floor — SPC vinyl or laminate — the floor needs to expand under the door casing, not push against it. The correct technique is to cut the casing to allow the flooring plus underlayment to slide underneath cleanly, leaving approximately ¼" clearance. Use a jamb saw or oscillating multi-tool with the flooring plank placed upside down as a guide. A clean undercut looks professional; a floor that presses against a door casing will telegraph through the locking joint within weeks as seasonal movement does its work.

6. Using the Wrong Adhesive or Fasteners for the Product

The adhesive that works for solid hardwood nail-down installations is not the same as what you need for engineered hardwood glue-down applications, and neither belongs anywhere near SPC vinyl. For nail-down solid hardwood in GTA homes, use a cleat or staple in the correct gauge for the board width — the NWFA (National Wood Flooring Association) nail schedule specifies fasteners every 8–10 inches, within 1–2 inches of each end joint. For engineered hardwood glue-down, use a manufacturer-approved moisture-curing urethane adhesive with the correct trowel notch. Always check the manufacturer's technical data sheet — not just the box.

7. Ignoring Expansion Gap Requirements at Walls and Fixed Objects

Every floating floor and nail-down hardwood floor needs room to move. The minimum expansion gap is ¼" around the perimeter and all fixed objects — walls, door frames, radiator pipes, kitchen island bases. In GTA construction, where relative humidity can swing 20–30% over the course of a year, that gap is not optional. Use ¼" spacers during installation, remove them before the trim goes on, and never backfill the gap with adhesive or foam — it transfers stress back into the floor.

8. Failing to Plan Transitions Between Rooms and Flooring Types

In a whole-home renovation across a GTA property, you will frequently need to transition between different flooring types or directions — from engineered hardwood in the living room to SPC vinyl in the basement, or from 7½" wide plank in the hallway to a different product in the bedroom. Every transition requires a proper reducer strip or T-moulding, fastened to the subfloor, not to just one plank of flooring. The transition plate must sit flush with both floor surfaces. A trip hazard from a raised transition is an immediate callback and a potential liability issue on Ontario job sites.

9. Not Inspecting Flooring Materials Before Installation

Before you lay a single plank, open every box and check for manufacturing defects, colour variation outside spec, or damage from shipping. Installing a board with a pre-existing delamination or a warped SPC plank that will not lock correctly is your problem to solve, not the supplier's, once the floor is in. At Top Floorings Depot, we recommend you and your client inspect materials together upon pickup or delivery. Report any concerns before installation begins. Flooring that has been cut, installed, or modified cannot be returned — but material defects reported before installation are covered under the manufacturer warranty.

10. Rushing the Final Inspection and Homeowner Walkthrough

The final walkthrough is not a formality — it is your last chance to catch and fix anything before the client takes ownership. Walk the entire installation with the client before you pack up tools. Check every transition, verify every expansion gap behind the appliance is still clear, confirm all visible boards are free of adhesive squeeze-out or surface damage, and test that every door that was removed still clears the new floor height. Photograph the completed installation. If you receive a callback later, having a documented walkthrough with photos is your best protection against a disputed claim.
